Concours Event Coordinator

The Candidate: 

We are looking for a skilled and enthusiastic event planner to coordinate our signature event from conception through to completion. Event coordinator responsibilities include providing outstanding planning and organizing a memorable event that meets quality expectations. An ability to connect with our team, and join in a friendly virtual work atmosphere will be an asset.

The Event: 

Canadian Parents for French BC & Yukon Branch hosts the Provincial Concours d’art oratoire – the Provincial French Public Speaking Competition for youth. Over 10, 000 participants from schools across B.C. compete in Concours each year, with approximately 250 district winners selected to compete at Provincials.

Canadian Parents for French (CPF) is the national network of volunteers which values French as an integral part of Canada and which is dedicated to the promotion and creation of French-second-language learning opportunities for young Canadians.

Position Responsibilities

  • Plan and execute a virtual event in its entirety, using existing framework and with advisory support from staff
  • Deliver all event elements to quality standard within a set timeframe
  • Report periodically on event progress to the CPF Executive Director and Socio-Cultural Manager
  • Organize all aspects of the event program such as speakers, entertainment, platform, special guests, equipment, promotional materials, etc.
  • Recruit, train and manage volunteer judges on and before the event day, providing a fulfilling volunteer experience
  • Manage event budget, report budget benchmarks
  • Receive registrations and develop event competition schedule for approximately 250 virtual participants
  • Specify key volunteer and staff requirements and coordinate their activities
  • Act as the primary contact person for the event, respond to inquiries and communicate in a timely and professional manner
  • Liaise with key partner organizations, and form or continue beneficial partnerships including advertising and sponsorship agreements
  • Coordinate social media and communications with the Digital Coordinator
  • Update and edit all event marketing and communication materials, update website as needed
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Conduct post-event surveys, and a final report including analysis of outcomes and ideas to improve the event and event quality in the future

Requirements

  • Experience coordinating events  (ex: competitions, conferences)
  • Excellent time management and communication skills
  • Ability to build and maintain productive partnership relationships
  • Excel proficiency is a must
  • Experience with virtual event management is an asset
  • Proficiency in the French language is an asset
  • Submission of references from previous employers or clients
  • Completion of a criminal record check

Position Details

  • This is a contract position, with a total compensation of $9,000. $4,500 will be paid in advance at the start of the contract, and the remaining $4,500 will be paid upon completion of the contract.
  • As an independent contractor, no taxes, CPP, EI, or other amounts will be deducted from your pay, and you will be responsible to remit these amounts in your taxes. You will be provided a T4A.
  • A business number is preferred but not required.
  • Time management is up to the contractor, however the event is normally completed with part time hours during February, March, and increased work in April and May leading up to the event.
